RES 2026 Annual Conference Joining Instructions

The Royal Economic Society looks forward to welcoming you to our Annual Conference. We have laid out the following information to help you prepare for your attendance.

Date: Monday 6 July – Wednesday 8 July
Registration opens: Monday at 10.00 BST with coffee, tea, bacon rolls and vegan sausage rolls served, so don’t have breakfast!

Please note: the conference is taking place at the Helix Campus, not the main Newcastle University campus, although this is only a 10 minute walk away.

Please note: the area in which the conference is taking place is a shared space between delegates and University students and staff.  

Wi-Fi

Delegates can either use Eduroam throughout the university campus or there is complimentary guest Wi-Fi which is as efficient as Eduroam.

Our conference is taking place at the Helix Science Square Campus of the Newcastle University. The registration desk will open at 10.00 on Monday 6 July.  Tea, coffee and bacon rolls/vegan rolls will be served.

The registration desk is located in the Frederick Douglass Centre. On arrival, you will be welcomed by our student volunteers.  The students will scan your QR code (this is on your booking confirmation email), then collect your delegate badge and conference tote bag.  

Based on your conference booking, badges are colour coded to represent access levels and social event attendance. A key is available here, along with printed copies at the registration desk so you can check your access level.  

Your delegate badge should be worn in order to access the conference facilities and all social events.

Newcastle is known for being a walkable city, most conference venues are within a 10 minute walk of the other. City Map

The walk from the main Newcastle Train Station to the Helix Science Square is about a 12-15 minute walk.

Monday: The Welcome Drinks Reception and Poster Presentations will take place in the Urban Sciences Building. This is located in the Helix Science Square, directly opposite to the main building which houses the conference registration desk and main lecture theatre.

Tuesday: Our Gala Dinner and Awards is taking place at the Newcastle Civic Centre, this is a pleasant 10 minute walk from the Helix Science Square

Most main city centre hotels are a 3 – 10 minute walk from the Helix Science Square.

If you have access needs and require public transport or a taxi service, Newcastle is well equipped to support you.

Public transport: local buses operate from Newcastle Train Station to the Helix Science Square. From Bus Stop A on Neville Street you can take a number of buses to Westgate Road. The Frederick Douglass Centre is then a 3 minute walk.

Uber/Taxi services: Taxi’s can bring you directly to Helix Science Square (via Blue Star Lane).

If you are presenting in a general, speed or special session, please read the following carefully.

We ask all session presenters to familiarise themselves with the chair’s notes, should they be called upon to fulfil the role of chair on the day.

Please bring your presentation on a USB drive.

Equipment within each room you will have:

  • PC 
  • Projector
  • Monitor/screen
  • USB port/HDMI port*
  • Larger rooms will have a PA system and microphones, please use these
  • Chairs and tables for delegates (in various configurations)
  • Wi-Fi.

What you might like to bring:

  • Clicker/slide changer/laser pointer
  • *Mac adaptor cable if you’re presenting from a Mac.

Room allocation

The room you have been allocated for your session is available within the conference programme.

(Note – room allocations may need to change up until the day of the conference, so please check on the day of your session)

Timings

Please arrive to the room you’re allocated 15 minutes before the session starts.  If the chair of your session has not already received your slides before the conference, on arrival, add your presentation to the PC via your memory stick.

General sessions – the order in which you speak is available within the programme.  The last-named presenter acts as the chair.  If there are 4 papers within your general session, each paper will have 15 minutes to present allowing 15 minutes for Q&A.  Some sessions will have 3 papers, the chair will reallocate the time accordingly.

Speed sessions – the order in which you speak is available within the programme along with details on who will chair your session, the RES have invited a range of well known economists from academia and policy setting to chair speed presentations.

On arrival, please introduce yourself to the chair. If there are 6 papers within your speed session, each paper will have 10 minutes to present allowing 10 minutes for Q&A.  Some sessions will have 4 or 5 papers, the chair will reallocate the time accordingly.

Assistance

We have a team of student volunteers who will be on hand to help with any troubleshooting.  In addition, there will be a “floating” AV technician available. Ask one of the student volunteers for help and they will contact the AV team as required.

Certificate of attendance

If you need a certificate of attendance, you can request one either at the conference via the Registration Desk or after the conference by emailing events@res.org.uk (by Monday 27 July). Note: certificates are electronic and will be emailed to the address you gave on registering for the conference.

Guidelines for Poster Presenters

Posters are presented during the Monday evening Welcome Reception. The venue is located on campus (Helix Science Square) in the Urban Sciences Building, this is directly opposite the main building, the Frederick Douglass Centre.

All poster presenters should note the following:

  • Please print and bring your poster with you to the conference
  • Your poster must be printed A1 in size and can be portrait or landscape
  • Please arrive at 18.00 to set up your poster. Arrive no later than 18.15 or you may not be able to present your work
  • RES staff will be on hand to help you set up your poster
  • Each poster board will be numbered but not allocated to an individual poster, therefore take any board on arrival
  • Pins will be provided for fixing your poster to the board
  • Be set up and ready to speak to delegates for 18.15
  • Please remove your poster at the end of the evening and take it with you.

General information

  • QR codes will be pinned to each board, with a corresponding number. We will invite delegates to scan a QR code and vote for the best poster using your posters number. (These codes are generic and not specific to your poster).

Please wear your badge on arrival at all social events

If your circumstances have changed and you cannot attend a social event you have previously booked, please let us know so that we can reduce food wastage and avoid negative impact on the environment. 

Social Events
Your conference badge will have a colour code which represents your access level, this includes social events. Please ensure you have your conference badge with you to access the social event venues. If you forget your badge, join the desk queue on arrival, where staff will check your booking. 

When you booked to attend the conference you selected the social event(s) you are planning on attending, this is the information we will be using for catering numbers and access levels. If you have purchased additional social event tickets for a guest, your own badge will reflect that additional ticket.

Welcome Reception and Poster Presentations

  • Monday 6 July (18.30 – 20.00)
  • Urban Sciences Building (USB), Helix Science Centre

Drinks and canapes will be served in the foyer and café space of the USB.  Posters will be on display and we invite delegates to vote for the Best Poster, which will be presented by Professor Imran Rasul later in the evening.

The USB is located in Helix Science Square, directly opposite to the main building which houses the conference registration desk and main lecture theatre.

Gala Dinner and Awards

  • Tuesday 7 July (19.00 – 22.30)
  • Newcastle Civic Centre, Barras Bridge, Newcastle upon Tyne, NE1 8QH
  • Please enter the venue via the main entrance, this is to the left of the building and is round with the tower above.

The evening will start with a welcome drink in the Foyer, after which dinner will be served in the Banqueting Hall. During the dinner, Imran Rasul, Past-President of the RES, will present a number of prizes and awards. 

Run Club! A gentle 5K

  • Wednesday 8 July (07.30-08.30)
  • Meet: Frederick Douglass Centre (outside)
  • Bring your running shoes!

Led by Newcastle University’s Jonah Patton, who is the cross country captain of Newcastle University Athletics and Cross Country club and will be president next year. He’s posted a 15 minute 5K and 32 minute 10K. Jonah studying for an MSc in Economics and next year will start his PhD studies at Newcastle. 

For run club, he’ll take you on a gently paced 5K through Leazes Park and the Town Moor.

Networking Drinks Reception with John Van Reenen

Drinks will be served whilst continuing the debate with Professor Van Reenen after his lecture.

Childcare: If you are in need of childcare, please get in touch via events@res.org.uk

Catering areas: All conference tea and coffee breaks and lunches will be served in the Atrium of the Frederick Douglass Centre. Lunch is a hot meal which is served from a “canteen” style system – although you will need to join a queue, we are assured the system is fast moving.

Dietary requirements: If you added a dietary requirement to your booking form, please be assured you will be catered for at the conference.  All lunches offer a vegetarian and vegan choice, for anything very specific, ask the catering staff at the canteen who will be holding your meal in the kitchen area.

Dietary Requirements at the Gala Dinner: For anyone with a dietary requirement, including vegan and vegetarian, you will find your own name card ready for you to collect within the drinks reception space on arrival at the Civic Centre. Once seated for dinner, place the card on the dining table, so your server knows what dietary meal to give you.

We endeavour to make our conferences as accessible as possible. When registering we asked if you had any access needs, and we will contact you if we need more information to support you in attending.

Please note:

  • All conference venues are accessible for wheelchair users
  • A variety of toilet facilities will be available, including gender‑neutral, single‑sex, and accessible toilets. We are committed to creating an inclusive environment where all attendees can access facilities that meet their needs
  • The Frederick Douglass Centre has a nursing room for breastfeeding
  • The building also has a “Quiet Space” located on the 1st floor which anyone can use at anytime.

If you have any issues or concerns whilst at the conference, please visit the registration desk. 

Cloakroom and Luggage Store
There will be a coat rail close to the registration desk where you can leave coats if needed.  On Wednesday, we will have a luggage store for larger bags in the Frederick Douglass Centre on the ground floor. Whilst the coat rail and luggage store will be staffed at all times, items are left at your own risk.

Dress Code
The conference is smart casual, including social events.

The RES would like to use this opportunity to congratulate this years RES Scholars. Each Scholar’s research was considered excellent by the conference review committee. To support these students in attending the conference and presenting their work, the RES Scholars Fund provides financial help to cover travel and accommodation costs.

The RES invites all conference delegates support our Scholars by attending the General/Speed/Poster session in which they are presenting. More information on RES Scholars and the sessions they are presenting in can be found here.

Note: All PhD students are invited to attend a networking coffee break on Monday afternoon at 15.45 (we will gather to the right side of the lunch canteen window).

Water: please bring with you a refillable water bottle to use throughout the conference.  There are water fountain’s throughout the venue.  

Catering: We are using re-useable (i.e. ceramic cups), recycled and/or recyclable items throughout the conference to reduce waste.  We aim to cater for as close to exact delegate numbers as possible, reducing food waste. 

Delegate bags: items have been sourced from existing merchandise, all of which have a useful purpose and no “conference specific” production was required.

If you need anything in advance of the conference, please contact Georgina Jenkins, RES Senior Events Manager on events@res.org.uk.  During the conference, the registration desk and RES stand will always be staffed for any queries. We have a fantastic team of student volunteers in white RES t-shirts.  Volunteers are able to contact RES staff quickly should you need to speak to anyone during the conference. 

Fire safety and security: In the unlikely event of an emergency or fire, please exit via a fire door.  We understand that its unlikely there will be a fire alarm test during the conference. 

The university has a team of security staff on campus patrolling all buildings throughout the conference. However, if you need support quickly, you can contact campus security by phone: 0191 208 6666. In the case of an emergency, please call the emergency services: 999.
